Sort invoices and receipts from Downloads into a folder per year
Omaculate spots invoices and receipts by their names (invoice, receipt, INV-, Factura, Rechnung and more) and moves them into Invoices and Receipts, with a folder for each year.
Why it helps
At tax time the accountant asks for a year of receipts, and they are scattered across Downloads under names no search for "invoice" will find.
What it matches
- Names with invoice, receipt, INV-, Factura, Rechnung, Quittung, Recibo, or an order or payment confirmation
- With Grand Oma and smart naming on, Oma also reads PDFs and documents whose names don't settle it (macOS 26 and Apple Intelligence)
What it leaves alone
- Names like "billboard.png" (the word "bill" alone isn't used)
- Bank statements, payslips, contracts and quotes: they have their own recipes
Anything in Downloads that looks like an invoice or receipt is moved to Downloads/Invoices and Receipts, by year.
Set it up in Omaculate
- Open Omaculate from the menu bar and go to Recipes.
- Under Suggested, choose Invoices and receipts. It's ready to save, on Downloads.
- Look over the files it would touch, then press Save.
- Press Tidy now, check the list, and approve it.
Change anything by tapping its words, for example: a folder per quarter or month instead of per year; leave out shipping labels ("isn't named label-*"); only from one shop ("came from etsy.com").
Or by hand: collect them with a Smart Folder
- In Finder, choose File › New Smart Folder.
- Click + and set "Name" "contains" "invoice". Hold ⌥ and click … to add "Any" of several names (receipt, INV-).
- Save it. It lists matching files wherever they are, without moving them.
A Smart Folder is a saved search: handy for finding, but the files stay scattered.
Questions
How does Omaculate know a file is an invoice?
By its name on every version. With Grand Oma and smart naming, on macOS 26 with Apple Intelligence, Oma also reads the PDF on your Mac when the name alone does not settle it.
Is the invoice sent anywhere to be read?
No. Reading happens on your Mac through Apple's on-device model. Files and file names never leave your Mac.
Which year folder does a file go in?
The year it was added to the folder. You can switch to quarters or months in the recipe.
