How to organize invoices and receipts on a Mac for tax time

Make an Invoices and Receipts folder with one folder per year, then gather the invoices from Downloads with a Finder search and move them in.

The built-in way

Set up the folders

  1. In Documents, make a folder called Invoices and Receipts, with a folder inside for each year.
  2. If your accountant asks for quarters, add Q1 to Q4 inside each year.

Another way

Gather what is in Downloads

  1. Open Downloads, press ⌘F and set the search to "Downloads".
  2. Search for "invoice", then "receipt", then "INV". Shops name them differently.
  3. Drag the results into the right year folder.

Save each search as a Smart Folder to run it again next month.

Another way

Name them so you can find them

  1. Rename as you file: date first, then who it is from, like 2026-10-28 Adobe.pdf. Files then sort by date in any folder.

Questions

How long should I keep receipts?

It depends on your country’s tax rules. Ask your accountant or tax office; several years is common.

Should I sort invoices by year or by month?

By year suits most people, because tax returns are yearly. Add quarters if you file VAT or estimated tax.
